●Basic Conditions for Acceptance of Exhibit Applications
The exhibitor shall not exhibit any items other than those that meet the purpose of the 2026 Chubu Pack and are specified in the “Exhibits” section of the application.
●Determination of application
The organizer shall settle the acceptance or rejection of the application. The organizer shall not state the reason for rejection of the application.
●Billing and Payment of Exhibitor Booth Fees
After the organizer receives and approves the application, the exhibitor will be invoiced for the booth fee. Exhibitor must transfer the fee to the account designated by the organizer by Wednesday, January 31, 2026. The exhibitor shall bear the bank transfer fee. The consumption tax rate as of April 22, 2026 (the first day of the exhibition) will apply.
●Cancellation after Application
(1) Exhibitors may not cancel or change their booths after applying to exhibit.
(2) The Organizer reserves the right to cancel an exhibitor’s application if the exhibitor materially violates the rules and regulations of the exhibition before or during the exhibition, or if the exhibitor makes a false entry in the application form, or exhibits or attempts to exhibit an item other than those registered.
●Determination of Booth Location
The location of booths is decided by the organizer based on the previous results, the order of applications, the size of exhibits, the products and services to be exhibited, and whether or not there will be demonstrations.
●Prohibition of Subleasing, etc. of booths
Exhibitors are prohibited from subleasing, selling, exchanging or transferring their booths without the consent of the organizer.
●Handling of Joint Exhibits
When two or more applicants jointly exhibit, one company shall apply on behalf of the other and notify the organizer of the company name and other details of the joint exhibitor by the end of December 2025.
●Installation and Removal of Exhibits
(1) All exhibits must be brought into the venue and set up within the time frame to be announced later by the organizer. Installation of exhibits in the booths are to be completed by April 21, 2026 (Tue).
If the exhibitor does not occupy his/her booth by the time specified by the organizer, the organizer will deem the contract terminated.
(2) Exhibitors must obtain approval from the organizer before removing, moving, or bringing in exhibits during the exhibition period.
(3) The exhibits and decorations in the booths must be removed within the time to be notified by the organizer at a later date. Any items not removed by that time will be removed by the organizer at the exhibitor’s expense.
●Use of Exhibition Space
(1) All demonstrations or other promotional activities shall be confined to the exhibition booths. Each exhibitor is responsible for ensuring that the aisles near his/her booth are not crowded due to demonstrations or promotional activities.
(2) When a booth is adjacent to other booths, the organizer will not allow the construction of the company’s booth in a manner that would in any way obstruct the adjacent booths. If there is any complaint from an adjacent booth, or if the organizer deems it necessary to change the booth from the standpoint of exhibition management, the exhibitor in the booth concerned shall agree to change their booth.
(3) The organizers reserve the right to restrict exhibits that are deemed problematic due to volume, operation, materials, or other reasons, and to prohibit or remove exhibits that are incompatible with the purpose of the exhibition from the standpoint of the organizers. This authority shall extend to persons, objects, acts, printed matter, and anything else that the organizer deems problematic.
(4) In the event of any of the above restrictions or removals, the organizer shall not be liable to the exhibitor concerned for any refund of display fees or booth fees, or for any other expenses incurred by the exhibitor.
●Management of Exhibits and Disclaimer of Liability
The organizer will take the utmost precautions to prevent accidents, such as assigning security guards to manage and safeguard the exhibits.
However, the organizer shall not be liable for any loss or damage due to accidents caused by force majeure (natural disasters, fire, theft, loss, etc.) or accidents caused by the land or building where the exhibition is held.
●Compensation for Damages
Exhibitors shall be liable for any and all damages to the facilities of the venue, the exhibition buildings, or personal injury caused by their own negligence or the negligence of their agents.
●Cancellation of the Exhibition
The organizer may cancel the exhibition if it is extremely difficult to hold the exhibition due to natural disasters, infectious diseases, terrorism, requests, instructions, or orders from the government or local public bodies, or other unforeseeable circumstances.
The organizer shall not be liable for any damage, increase in expenses, or other disadvantageous circumstances resulting from this.
●Compliance with Regulations
Exhibitors agree to comply with and accept all of the terms and conditions set forth by the Organizer as part of these rules. Furthermore, exhibitors shall interpret all the terms and conditions set forth by the organizer as being for the protection of the interests of the exhibition, and shall cooperate with the implementation of such rules.
